MMFL Makeup/Rescheduling  (reschedmakeup.htm)

 

Team coaches can request makeup games for RAINOUTS through the MMFL database. They must request rescheduling from within the secure area of the MMFL website. In order to request a makeup game, the game they are rescheduling must already be scored with an AR, RH, RF, FF, or S* status code. Request notifications are sent to MMFL Administrative personnel for approval. Once approved, scheduling records will be updated as described below.

 

MMFL system administrative personnel (Select Board members) can also submit rescheduling requests. This feature is accessed from the Scheduling Master List (Select by Date) by pointing and clicking in the Resched column of the Master Scheduling record to be updated. Admin can request only functions as described from the Status or Reason Codes below.

 

Both coaching requests for makeup/rescheduling and those requests created by administrative personnel are accessible from the Makeup/Reschedule Game Requests menu option. These requests should remain in the system throughout the year for later analysis. Approved requests should always be verified by manually examining the actual scheduling records. The Board President and Facilities Coordinator will be included with all sent e-mail. 

 

Makeup/Rescheduling STATUS or REASON CODES (SC)

            CA – Cancel (Board)

            AN – Administrative Non-Reschedule (Board)

            AR – Administrative Reschedule by Teams (Board)

            RH – Rainout via Hotline (Coaches & Board)

            RF – Rainout at Field (Coaches & Board)

            FC – Forfeit by Cancellation (Board)

            FF – Forfeit at Field (Coaches & Board)

            S* - Suspended / Inning – Only  (Coaches & Board)

 

Only rescheduled games with AR,  RH or RF will be indicated in scheduled records as Makeup (##) and/or Rescheduled (Resched) (##). This will be done as an indicator to teams when viewing their schedules and to the Board when reviewing rainout makeup games. The Makeup number should match the Resched number for later clarification.

 

CA – Cancel games.

When games are cancelled by Administration, they are done. No makeup games are allowed or created.

 

Teams cannot select to reschedule or score these records.

           

Old Scheduling records remain in the system with a CA as a status code and marked as Scored. They cannot be selected for Makeup..

           

Upon APPROVAL:

Teams e-mailed.

                        UIC is e-mailed.

                        Old field is e-mailed.

                        New field IS NOT addressed.

 

AN – Administrative Non-Rescheduling (Coaches MAY NOT Reschedule)

            This rescheduling option is available only to select Board members.

           

The OLD Scheduling record is cleared and made available for further scheduling activity.

           

A NEW scheduling record is created, identical to the old record, w/o umpires. The NEW Scheduling record will be temporarily Frozen so no other team can select this date and field until the request is approved.

           

Umpires must be reassigned to this new date and field.

           

Upon APPROVAL:

Teams are e-mailed.

                        UIC is e-mailed.

                        Old field is e-mailed and notified of the cancellation.

                        New Field is e-mailed.

 

AR – Administrative Rescheduling (Coaches may reschedule)

This reason/status code can be selected and used by Board members only. It can be used by league officials to cancel old scheduling records without assigning a new date/field for rescheduling. But the coaches can reschedule their new date and field at a later time without Admin personnel doing it for them.

 

When Admin personnel use this status code, they have the option of leaving the NEW scheduling record BLANK. When this is the case, the OLD scheduling record IS NOT updated with a "##" in the Resched column. This will allow coaches to select this "AR" scheduling record for re-scheduling and selecting a valid new date/field..

 

When the NEW scheduling record is not left BLANK, the OLD scheduling record is cleared and made available for future scheduling.

           

The NEW scheduling record for the makeup game will contain basically the same information except for the date and field. The Makeup column will contain a “##”. The umpire columns will be blank and must be reassigned. The NEW Scheduling record will be temporarily Frozen so no other team can select this date and field until the request is approved. 

 

Upon APPROVAL:

Teams are e-mailed.

UIC is e-mailed.

Old field is e-mailed, games show as “Cancelled”.

*New Field is e-mailed, games show as “New”. (ONLY if New Record contains a New Field name.)

 

 

RH – Rainout via Hotline.

This reason code/status code can be selected and used by coaches and select Board members.

 

The OLD scheduling record is left in place but updated with a “##” in the Resched column and “RH” for a reason/status code. This record is “Scored” so no further scoring can be done by coaches. The Makeup number should match the Resched number for later clarification.

           

The NEW scheduling record for the makeup game will contain basically the same information except for the date and field. The Makeup column will contain a “##”. The umpire columns will be blank and must be reassigned. The NEW Scheduling record will be temporarily Frozen so no other team can select this date and field until the request is approved.

UIC is e-mailed.

Old field is e-mailed, games show as “Cancelled”.

New Field is e-mailed, games show as “New”.

 

 

RF – Rainout at the Field.

This reason code/status code can be selected and used by coaches and administrative personnel. The only difference between this Status Code and “RH” is to analyze year end field usage.

 

The OLD scheduling record is left in place but updated with a “##” in the Resched column and “RH” for a reason/status code. This record is “Scored” so no further scoring can be done by coaches. The Makeup number should match the Resched number for later clarification.

           

The NEW scheduling record for the makeup game will contain basically the same information except for the date and field. The Makeup column will contain a “##”. The umpire columns will be blank and must be reassigned. The NEW Scheduling record will be temporarily Frozen so no other team can select this date and field until the request is approved.

Old field is e-mailed, games show as “Cancelled”.

New Field is e-mailed, games show as “New”.

 

 

FC – Forfeit by Cancellation.

This Reason or Status Code can be assigned by administrative personnel only.

 

This can be used when a team cannot play a game for a reason unacceptable to the MMFL. No rescheduling will be allowed. A forfeit fee can be assessed at the discretion of the MMFL Board of Directors.

 

The team forfeiting will be scored 0 runs while the opposing team will be scored 7 runs. If this code is used by Administration, the runs will have to be applied manually thru scheduling maintenance. Once the scheduling record is updated, Admin must “Re-calculate Win/Losses” (Menu option).

 

The OLD Scheduling record will remain, the Status Code for each game will be “FC”. The games will also be updated as Scored (1).

 

No NEW Scheduling record will be created.

 

Upon APPROVAL:

Teams are e-mailed.

UIC is e-mailed.

Old field is e-mailed, games shown as “Cancelled”.

 

 

FF – Forfeit at Field. (One team does not show up)

This Reason or Status Code can be assigned by coaches via their own scoring or Administrative personnel.

 

It can be used when a team does not show at a field play a scheduled game with no warning or phone calls. No rescheduling will be allowed. A forfeit fee will be assessed.

 

The team forfeiting will be scored 0 runs while the opposing team will be scored 7 runs. If this code is used by Administration, the runs scored will have to be applied manually thru scheduling maintenance. Once the scheduling record is updated, Admin must “Re-calculate Win/Losses”. (Menu option)

 

The OLD Scheduling record will remain, the Status Code for each game will be “FF”. The games will also be updated as Scored (1).

 

No NEW Scheduling record will be created.

S* – Suspended Games and the Inning of Suspension.

A completed game consists of 5 innings (or 4 1/2 innings completed with the home team leading). If a game is suspended, it can be rescheduled. Coaches must decide to pick-up at the inning of suspension.

           

This reason code/status code can be selected and used by coaches and administrative personnel. However, manual intervention may be required to update the scheduling record properly.

 

The OLD scheduling record is left in place but updated with a “##” in the Resched column and “S*” for a reason/status code. This record is “Scored” so no further scoring can be done by coaches.

           

The NEW scheduling record for the makeup game will contain basically the same information except for the date and field. The Makeup column will contain a “##”. The umpire columns will be blank and must be reassigned. The NEW Scheduling record will be temporarily Frozen so no other team can select this date and field until the request is approved. The Makeup number should match the Resched number for later clarification.
